1. What we collect
- About you (the parent or guardian):
- your name, your email address, and the mobile number if you give one;
- your shipping address when cards are shipped;
- your order and payment status. Our payment processor handles your card; we never see or store the full card number.
- About the player:
- name and team;
- the photo you upload;
- whatever you put on the card (for example position, stats, jersey number, and a birth date only when the card design prints one).
- When you contact us: the messages you send by text or through our help form.
- Technical data: basic logs from our hosting and error-monitoring services, which keep them to run and secure the site. Our error reports don't include what you type into forms.
- Browser storage: your sign-in is stored in your browser's local storage. We don't use advertising trackers or any outside analytics company. Our payment processor may set its own cookies to prevent fraud.
- Visit counts: we count how many visits reach each kind of page and each step of an order form, by the hour and by phone, tablet or computer, so we can see what is working. We keep the count ourselves. It uses no cookie and holds nothing about who you are: no name, no address, no identifier for your device or browser.
2. How we use it
We use this information to:
- make, preview, check, print, pack and deliver your cards, which includes telling the tournament's director who ordered and how to reach you (see section 3);
- let you view and edit your order;
- send order emails, and texts if you agreed or wrote to us (see section 6);
- provide customer service and handle payment disputes;
- calculate taxes, and keep business and tax records;
- keep the site secure.
We use your child's photo only for your order (making, printing and supporting it). We don't use customers' photos or cards as samples, in advertising, or on social media unless you give us permission. If you do give it, we copy that photo into a separate staff library, which is where our sample cards are made, and keep it there while we use it — so it outlives the photo on your order. Tell us and we delete it, and every sample card made from it goes too.
3. Who we share it with
- Tournament directors and organizers:
- Their online portal: the director of a tournament, and the people at their organization who sign in to their portal, see the names of the players on their tournament's team lists and whether each has ordered. For each child ordered for they also see: the child's name and team; your name, email address and mobile number; whether the cards come to the tournament for pickup or are shipped to you; how many packs; order numbers, status, dates and totals; and the finished card as it will print. They can download this list as a spreadsheet.
- What it's for: handing out the cards, and reaching you about that tournament. We tell directors it is for that only, and we don't give it to them for their marketing.
- The printed cards: when cards are collected at the event, the director receives the printed cards, which show everything printed on them. That includes your child's photo and any stats, and a birth date if the design prints one.
- Never shared: the portal doesn't show your shipping address or the original photo you uploaded, only the finished card.
- Service providers who run parts of the service for us:
- payment processing and sales-tax calculation;
- email delivery and text messaging;
- shipping labels and carriers, which get your name and address when we ship;
- website hosting, database and file storage;
- error monitoring.
- Printing: we print and pack cards ourselves; print files don't go to an outside print shop.
- When required: to comply with the law, protect rights and safety, or as part of a sale or merger of the business.
- Mobile numbers and texting consent are never shared with third parties for their marketing.
We don't sell personal information.
4. Children's information
- Who gives it: parents and guardians give us their child's information to order cards. We don't knowingly let children create accounts or place orders themselves.
- Limits on what we collect: a birth date only when the card design prints one.
- Protection: photos are kept in private storage. Photo links expire, and staff access to a child's photo is logged.
- Metadata: photos uploaded on or after September 11, 2026 are stored without location or other hidden camera data. Photos uploaded before that date were stored as uploaded.
5. How long we keep it
We keep information only as long as we need it for the purposes above.
- Photos: kept while they're needed for your order, including reprints, customer service and disputes, then deleted.
- Photos that are never used on an order are deleted sooner.
- A birth date is cleared after the event, because the order keeps what printed.
- Print files and order records: we keep these as business records, including the printed cards' images and the player names on them. That means a printed card, with your child's photo and name, can remain in our records after the uploaded photo is deleted.
- Messages: texts, emails and consent records are kept as records of what you agreed to and what we sent, including any STOP reply.
6. Emails and texts
- Order emails: we send order emails, such as confirmations, receipts, updates and shipping, to the address you give.
- Emails about a tournament you ordered at: we may occasionally email you about that tournament, such as a reminder before its order deadline. Each one has an unsubscribe link, or you can ask us; after that we send no more emails like that to the address. Order emails still come.
- Texts: only if you tick a texting box at checkout, and only to that number, or in reply when you write to us.
- The first box is for texts about that order only.
- The second box, separately, is for occasional messages about that tournament. We don't send promotional texts without it.
- Reply STOP to stop; we then send nothing to that number until it replies START.
- Reply HELP for help.
- Message and data rates may apply.
- If you text us, or use our help form, we may reply by text to that number.
7. Your choices and rights
Contact us to ask what we hold about you, correct it, or delete it. Some records can't be deleted, such as orders, print files, tax and payment records and consent records, because we keep them as business records or the law requires it. Depending on where you live, you may have further rights.
8. Security
We use reasonable safeguards, including private file storage, expiring photo links and logged staff access to children's photos. No system is perfectly secure.
9. Changes
We may update this policy and will show the effective date at the top.
